How to organise a destination wedding in Marbella when you do not live here, what can be handled remotely, what deserves a planning trip, when a local planner becomes valuable, and the logistics couples most often underestimate.
Yes. Most of a Marbella destination wedding can be planned remotely. Venue research, supplier meetings, photography, entertainment, accommodation, transport quotes and schedules can all begin through email, WhatsApp and video calls.
Ideally, make one well-organised planning trip. If everything is arranged in advance, one visit can cover venue visits, tastings, accommodation and key supplier meetings. Two visits should be sufficient for most couples. If you cannot visit at all, detailed video walkthroughs and somebody locally whom you trust become much more important.
The more complicated the wedding, the more valuable it is to have somebody experienced on the ground.
Before contacting photographers, florists, bands, caterers and transport companies, establish:
1. A realistic budget
2. Approximate guest numbers
3. Your preferred date or period
Then start seriously looking at venues.
The venue is the anchor. Once it is chosen, you know the location, what infrastructure already exists, where guests should stay, what transport is required and which suppliers still need to be brought in.
Venue shortlists, planner conversations, photographers and video, entertainment, florists, hair and makeup, accommodation research, transport quotes, initial menus, invitations, schedules and guest communications.

A venue coordinator primarily coordinates the venue. A wedding planner may coordinate the entire wedding, suppliers and guest logistics. Ask what the person actually handles rather than relying on the job title.
Communication styles differ, between countries, but also between two businesses on the same street.
Some suppliers reply almost instantly. Others work more informally. Neither automatically tells you whether they will deliver a good wedding.
What matters is finding a planner and venue whose communication style works for you. If you expect structured updates, clear deadlines and written confirmations, establish that during the booking process.
Do not assume every Spanish supplier will communicate exactly like a UK or Northern European company. Equally, do not accept poor organisation simply because you are in Spain.
WhatsApp is excellent for everyday planning. Important commercial terms should still be documented clearly.
Confirm the date, timings, inclusions, guest limits, minimum spends, deposits, payment schedule, cancellation terms, applicable IVA, overtime, travel charges, setup/removal, music restrictions, weather arrangements and final payment date.
One particularly useful question in Spain is:
“Is this the final price including IVA?”
And if something is described as included, ask exactly what that means. Dinner, drinks, staff, glassware, furniture and late-night food are very different things.
Instagram is excellent for discovering wedding ideas and suppliers. Its weakness is obvious: everybody posts their best work.
Ask photographers for a complete wedding gallery, not only a highlight reel. Look for genuine live footage from singers and bands. Ask venues for walkthrough videos that show access and practical spaces. Taste food wherever possible.
Use Instagram to discover. Use proper research to decide.
A venue marketed as being in the Marbella area may be in the hills or elsewhere along the Costa del Sol. That can be a strength, some of the best wedding settings are away from town, but transport becomes part of the wedding.
Do not trust ideal travel times too much. Marbella traffic varies by season, time and route. Build margin into coaches and important journeys.
At the start, everybody travels together. At midnight, 1:30am and 3am, different groups want to leave. For remote venues, staggered return transport can be far better than leaving guests searching for taxis.
Destination weddings already cost guests money. Rather than assuming everybody wants one expensive hotel, provide sensible premium, mid-range and more affordable accommodation choices within a logical area.
The wedding is also a trip. Welcome drinks, a villa gathering, an Old Town meal or recovery lunch can make it feel much bigger than one day.
But do not organise every minute of everybody’s holiday. Give guests opportunities to meet while leaving space for pools, beaches, Marbella and recovery.
By the final weeks, creative decisions should largely be finished. Confirm the venue layout and wet-weather plan, menu and dietary requirements, entertainment setup and finish times, transport pickups and returns, photography timings and the complete supplier contact list.
Most importantly, establish who makes decisions if something changes.

By the time you arrive for the wedding, you should not feel like you are coming to Marbella to organise it.
